So how do we get started? Each customer is unique and likely requires different services. Thus, once we receive your inquiry, we’ll work with you to determine the exact scope of work necessary at your facility. In these first communications we learn what your needs are, your previous level of service, your accrediting agency, how future oriented and proactive your organization is, and much more. If we all agree that Insight HTM and your organization are a good fit, we will gather your technical data and draft up a scope of work document to ensure that all deliverables are understood by both organizations. We work to make our on-boarding process very easy for our clients. Once an agreement is executed, we go to work for you.
We start with a current validated inventory. In many cases this requires an on-site visit. Good data is the key to all we do and it is important to start with a clean database. After all, this is the repository into which we must reach when the inspectors ask for histories.
We then create a secure, cloud-based CMMS account for you and place your inventory data into that database. This database, along with your policies and procedures, are the foundation of an effective HTM program. All reporting and useful analytics that can be derived from the data require an accurate data source.
Once your devices are tagged, inventoried, added to the database, and preventive maintenance activities are entered, we begin implementing your policies and procedures. We provide a clear MEMP (medical equipment management plan) and a tailored P&P set for your facility based on your facility, location, and accrediting agency. These are updated annually to reflect any changes in regulations or best practices. There is some level of site involvement at this stage as we aim to co-operate within your current workflow.
The next step is to gather your contracts for analysis. Here is where we can save you some money. We know what you should be paying your vendors. We know alternate service options. We know that many facilities don’t have an accurate, centralized service budget, and that department managers from different ends of a campus may be independently signing and renewing contracts. We had a customer that was paying $30k/yr on a device that hadn’t been in the building for two years! We can provide you a true Cost of Service for your HTM department. This data, correctly interpreted, is extremely helpful when it comes to capital equipment planning and budgeting.
